How to Quote Landscaping Jobs (And Actually Make Money)

Landscaping is one of the easiest trades to start and one of the hardest to make profitable. The difference usually comes down to one thing: how you quote.

The Landscaping Quoting Formula

Every landscaping quote should account for four things:

1. Materials (with markup)

  • Plants, trees, shrubs (wholesale + 50-100% markup is standard)
  • Mulch, rock, gravel (by cubic yard)
  • Soil, amendments, compost
  • Sod or seed
  • Edging, pavers, retaining wall block
  • Irrigation supplies
  • Landscape fabric

  • Account for weather delays on multi-day jobs
  • **What's your real labor cost?** It's not just wages. Add payroll taxes (7.65% FICA), workers comp (varies wildly — landscaping is high-risk), insurance, and benefits. A $20/hour employee actually costs you $28-$35/hour.

  • Skid steer, mini excavator, dump trailer — daily rental rates or amortized cost
  • Fuel
  • Blades, string, consumables
  • Wear and tear on your trucks and trailers
  • 4. Overhead + Profit

  • Insurance, licensing, bonding
  • Vehicle payments and maintenance
  • Office/yard rent
  • Software and phone
  • Marketing
  • **Your salary** (yes, you need to pay yourself)
  • **Profit margin** (10-20% minimum on top of everything else)
  • Overhead isn't profit. Profit is what's left AFTER you've paid yourself and every expense. If you're not adding profit margin to your quotes, you're running a nonprofit with a mower.

    That might look high to a landscaper who's been bidding at $4,000. But that $4,000 bid leaves you $570 after costs — before overhead. You'd be working for tips.

    Seasonal Quoting Adjustments

    Landscaping is seasonal. Your pricing should reflect that:

  • **Spring (peak):** Full pricing. You have more work than you can handle. Don't discount.
  • **Summer:** Maintenance contracts are steady. New installs in heat = harder work = charge accordingly.
  • **Fall:** Cleanup season. Quote cleanup packages as flat rates — they're predictable and profitable.
  • **Winter:** Hardscape, drainage, and planning season in mild climates. Snow removal in cold ones. Off-season discounts are fine if it keeps the crew working.
