How to Create a Professional Quote That Wins the Job

By BidlyQuotes Team

Your quote is often the first "product" a customer sees from your business. Before they experience your craftsmanship, your reliability, or your attention to detail — they see your quote.

And most contractor quotes are terrible.

Here's what a professional quote actually looks like, section by section — and why each piece matters.

The Anatomy of a Winning Quote

1. Your Business Header

Top of every quote:

  • Company name and logo
  • License number
  • Phone, email, website
  • Physical address (builds trust)
  • Insurance info (or "Licensed & Insured" badge)
  • **Why it matters:** This is your credibility section. A customer comparing your branded header against a competitor's plain text email will choose you before they even read the price.

    2. Customer Information

  • Customer name
  • Property address (job site)
  • Contact info
  • Date of site visit
  • Quote number (for tracking)
  • **Why it matters:** Shows you're organized and that this quote is specifically for them — not a copy-paste job.

    3. Scope of Work

    This is the most important section. Write it in plain language the customer can understand.

    **Good scope:**

    > "Remove existing bathroom floor tile (approx. 60 sq ft). Prep subfloor and install moisture barrier. Install customer-selected 12x24 porcelain tile with 1/8" grout lines. Apply grout sealer. Includes all adhesive, grout, and trim pieces."

    **Bad scope:**

    > "Bathroom tile work."

    Be specific about:

  • What you're doing (and what you're NOT doing)
  • Materials being used (brand/model when relevant)
  • Square footage, linear feet, or unit counts
  • Any assumptions ("assumes subfloor is in good condition")
  • 4. Itemized Pricing

    Break it down. Customers want to understand what they're paying for.

    **Structure:**

    ```
    Materials
    Porcelain tile (60 sq ft @ $4.50) $270
    Thin-set mortar (2 bags) $45
    Grout + sealer $35
    Backer board + screws $60
    Trim pieces $40
    Subtotal: $450
    Labor
    Demo existing tile (4 hrs @ $85) $340
    Subfloor prep (2 hrs @ $85) $170
    Tile installation (8 hrs @ $85) $680
    Grouting + cleanup (3 hrs @ $85) $255
    Subtotal: $1,445
    Materials: $450
    Labor: $1,445
    Tax: $36
    TOTAL: $1,931
    ```

    **Why itemize:**

  • Builds trust (nothing hidden)
  • Justifies your price
  • Makes comparisons fair (apples to apples)
  • Reduces "why is this so expensive?" questions
  • 5. Timeline

  • Estimated start date (or "within X days of approval")
  • Estimated duration
  • Any milestones or phases
  • Factors that could affect timeline (permits, weather, material lead times)
  • 6. Payment Terms

    Be explicit:

  • Total amount
  • Deposit required (common: 25-50% upfront)
  • Progress payments (if applicable)
  • Final payment due upon completion
  • Accepted payment methods
  • Late payment policy
  • 7. Terms and Conditions

    Keep it brief but cover yourself:

  • Quote valid for 30 days
  • Change orders require written approval and may adjust price
  • Warranty terms (labor warranty, manufacturer warranty on materials)
  • Cancellation policy
  • Permit responsibility (who pulls and pays for permits?)
  • What's not included (explicitly)
  • 8. Acceptance and Signature

    Make it easy to say yes:

  • Clear "Accept Quote" section
  • Signature line (or e-signature)
  • Date line
  • Brief authorization statement
  • **Example:**

    > "By signing below, I authorize [Company] to proceed with the work described above at the quoted price. I agree to the payment terms and conditions stated."

    Formatting Tips

  • **Use a clean, consistent layout.** No Comic Sans.
  • **Keep it to 1-2 pages.** Nobody reads a 5-page quote for a bathroom remodel.
  • **PDF format.** Don't send a Word doc — it looks editable.
  • **Include your branding.** Colors, logo, consistent fonts.
  • **White space matters.** Dense blocks of text feel overwhelming.
  • What Makes Customers Choose Your Quote

    Research consistently shows that customers choose quotes based on:

    1. **Clarity** — they understand exactly what they're getting

    2. **Professionalism** — it looks like it came from a real business

    3. **Speed** — it arrived quickly after the site visit

    4. **Detail** — it answers questions before they're asked

    5. **Price** — yes, but it's usually 4th or 5th on the list
